WHAT IS THE FIELD PTO?

The Field Elementary Parent/Teacher Organization (Field PTO) is a 501(c)3 non-profit organization and supports the education of students at Field Elementary by fostering relationships among the school, parents & teachers while raising funds to support enrichment programs, support contributions and campus upgrades.

 

Our PTO is made up of hard-working parents & teachers who combine their talents and limited time to benefit Field Elementary.

PTO OBJECTIVES

  • Establish & strengthen a productive relationship between families, teachers, school administration and our community

  • Support school needs and improvements to benefit all Field Elementary students

  • Expand and supplement classroom and school equipment, technology and supplies

  • Develop programs & projects to support and enhance the curriculum

  • Enhance the quality of education at Field ES with fundraising programs for costs falling outside school budget


      


2025-26 SCHOOL YEAR: PTO POSITIONS

Executive Board Member Officers (*):

President

  • Plan and lead the monthly PTO Board and General meetings
  • Lead the PTO Board team
  • Meet with Principal Karr twice a month
  • Act as a liaison between parents, teachers, staff and the board
  • Support all PTO activities and events
  • Vote on all PTO investments for the school
  • Support fundraising with communication to our community, sponsors and donors.
  • Collaborate with Principal Karr to work on an annual school calendar
  • Collaborate with the Board on a yearly budget
  • Encourage parental involvement on the PTO Board and committees

Vice President, Programs & Newsletter Editor

  • Coordinate PTO participation and parent volunteers for school events
  • Attend Board and General meetings
  • Assist in recruiting volunteers/committees for fundraising events
  • Fulfill Presidential duties if he/she is not available
  • Assist and Board members throughout the school year
  • Vote on all PTO investments for the school
  • Editor of the Newsletter

Secretary

  • Partner with PTO President & Board to create the Board and General Meeting Agenda
  • Takes minutes at the PTO Board and General Meetings, typing them and distributing timely
  • Communicates and follows up on the action items from meetings
  • Maintains the PTO Google Drive and Calendar

Treasurer

  • Collaborate with the PTO President to generate the annual budget
  • Pay bills, purchase requests and process reimbursements, as required
  • Oversee ongoing PTO finances, ensure adherence to the PTO budget
  • Prepare and present updates to the budget and bank account to the PTO board and at General meetings
  • Coordinate the cash box for all PTO events and fundraisers
  • Manage the square account and any PTO volunteers users on square
  • Manage the Venmo account
  • Prepare all legal documentation and forms for our non profit 501c3
  • Submit to the communications team monthly finance recaps for our website and newsletter

 

Committee Chairs (*):

Fundraising chair

  • Create a master Fundraising calendar that is communicated with the PTO Board, School and Parent Community
  • Partner with communications to update the sponsorship information packet, evaluating sponsorship levels and follow through commitments to sponsors
  • Engage with current sponsors of Field Elementary to support future fundraising events
  • Monitor results of fundraisers and align fundraising objectives with budgetary needs
  • Supporting all fundraising events at Field Elementary

Fundraising - Spirit Events:

    • Plan, organize and execute Spirit Night Fundraisers with local businesses throughout the school year
    • Create a master Fundraising calendar that is communicated with the PTO Board, School and Parent Community
    • Engage with current sponsors of Field Elementary to support future fundraising events
    • Monitor results of fundraisers and align fundraising objectives with budgetary needs
    • Supporting all fundraising events at Field Elementary

Fundraising - Movie Nights:

    • Lead Movie Night fundraisers at the school with an organized committee of volunteers
    • Actively source sponsorships for Field Elementary
    • Seek feedback from school administration, parents and PTO board on movie night selections
    • Support communications team with information on Movie Nights

Fundraising - Auction Logistics Chair:

    • Auction items and fundraising
    • Sponsors and donations
    • Fundraising socials
    • School based items
    • Auction website
    • Establish committees/point people to assist with each of these
    • Collaborate with event chair 

Fundraising - Auction Event Chair

    • In charge of the event itself - bands, decor, communication with venue, orders related to event, collab with food committee
    • Marketing of event
    • Sort of consultant to the auction chair, if wanted, based on previous year experience
    • Collaborate with Comms on graphics, etc
    • Establish committees to assist

Fundraising - Fun Run Chairs:
1st Fall Fun Run Chair

    • Manages and sets up school fundraising website via FundHub under the guidance of FundHub rep.
    • During fundraising period, uses website tools to drive fundraising
    • Orientation call with FundHub rep
    • Sends Fun Run morning announcements to Ms Franklin to update students on homerooms who have earned X rewards and progress toward school wide incentives
    • Meets with teachers to orient to kick off, incentives, and timeline (minimum 2 weeks before kick off)
    • Creates Google Form for Homeroom teachers to select top 3 PTO funded class rewards
    • Tracks homerooms who have earned rewards and notifies teacher of date/time.
    • Coordinates with Volunteer Coordinator on any volunteer needs for class rewards
    • Co-creates Fun Run fundraising timeline
    • Collaborate with the PTO board on a budget for the event

2nd Fall Fun Run Chair

    • Selects, sources and buys individual prizes (4-5 tiers)
    • Updates prizes inventory when low
    • Coordinates with Volunteer Coordinator for volunteers to distribute during Fun Run fundraising
    • Assists with class based incentives planning and sourcing materials (eg ice cream sundae party)
    • Co-creates Fun Run fundraising timeline
    • Collaborate with the PTO board on a budget for the event
    • Liaisons with Communications Team for them to create marketing materials

3rd Fall Fun Run Chair

    • Creates an organized calendar of events with Mr. Karr for the communications team/school admin to share re: school wide incentives and dates
    • Liaisons with communications team on school wide incentives for marketing materials and social media posts
    • Leads school wide incentives (eg Pie Ms Franklin)
    • Assists with class based incentives planning and sourcing materials (eg ice cream sundae party)
    • Co-creates Fun Run fundraising timelin
    • Collaborate with the PTO board on a budget for the even
    • Work with the communications team on Fun Run communication & updates to the school community.
    • Sends 5 communication templates to teachers during Fun Run fundraising to be posted to their respective PS 

Campus Improvement chair

  • Responsible for developing plans for future campus improvements
  • Work closely with school administration on campus improvement needs
  • Organize and execute field work days
  • Execute plans with the reSPARK Summer 2023
  • Work with PTO Board on a budget for campus improvements
  • Collaborate with SPARK on park updates, improvements and maintenance.
  • Community Building

Volunteer and Membership chair

  • Responsible for obtaining volunteers via signup genius
  • Partner with PTO board members on volunteers needed
  • Partner with school administration on volunteers needed
  • Monitor the status of volunteer sign ups and reporting that information to the event owner
  • Attend functions where volunteers are present and show appreciation for their time
  • Respond to volunteer questions
  • Partner with local organizations and schools to support each other with volunteer swap
  • Print Volunteer information for school administration

Communications chair

  • Support Field Elementary school events, PTO events and activities
  • Maintains PTO Social Media accounts
  • Create and share photos and video reels with our community on the web
  • Collaborate with School Administration to communicate PTO information on Class Dojo
  • Partner and work together as a communications team, supporting each other and the PTO board

GRAPHIC DESIGN

    • Create fliers, posters and media for Field Elementary
    • Create fliers for all PTO related events and activities
    • Collaborate with school administration and create new T-Shirt designs for the school year
    • Partner and work together as a communications team, supporting each other and the PTO board
    • Translate created fliers, posters and media for our Spanish speaking families
    • Translate social media posts
    • Translate information and announcements for the school marque sign
    • Translate information for the PTO Website
    • Collaborate with school administration to communicate PTO information on Class Dojo in Spanish
    • Partner and work together as a communications team, supporting each other and the PTO board

WEBSITE & MARQUEE

    • Maintain PTO Website throughout the year
    • Ensure the school calendar on the website is updated frequently
    • Collaborate with school administration on marquee sign information throughout the year -- including but not limited to birthday announcements, upcoming events, school holidays
    • Partner and work together as a communications team, supporting each other and the PTO board

Additional Board Roles: 
Faculty Representative (*)

Parliamentarian

  • Keep order and ensure that proper procedures are followed at each board and general meeting
  • Has a legal background with complete knowledge and understanding of the bylaws
  • Communicate bylaws and rules with the PTO board, share them with Principal
  • Responsible for understanding the HISD/TEA rules and requirements for PTO/PTAs
  • Ensure PTO acts in accordance with all rules regarding our non profit status

Booster Sales (2 Co-Chairs)

  • Maintains PTO Spirit wear inventory and online store front
  • Ensures spirit wear is delivered timely, weekly with online orders
  • Collaborates with the PTO board on restock, new orders throughout the year
  • Manages spirit gear sales at PTO and School events & fundraisers
  • Maintain clean and organized spirit gear lockers in the PTO room
  • Organize, execute and communicate “Donate Spirit Wear” to a teacher

Hospitality chair

  • Work closely with school administration
  • Lead a team of volunteers for teacher appreciation week
  • Plan and execute teacher/staff appreciation events
  • Work with PTO board on yearly budget for teacher appreciation
  • Assist school teachers and administration throughout the year
  • Support PTO events and activities throughout the year
  • Diversity and School Support 

Parental Involvement - Community and School Support Chair

  • Lead School tours for prospective/incoming parents (Dec-Jan)
  • Poster production for school & PTO events distributed throughout the school year
  • Assist in all our annual community fundraisers and events
  • Partner with local middle schools for community involvement, volunteering and registration information sessions
  • Support school events and fundraisers
  • Works closely with teachers, administration and staff on school events and activities
  • Work with administration to plan and execute Meet the Teacher & Kindergarten Round UpAct as a liaison for feedback from parents on After School Programming

 Parental Involvement - Diversity Chair:

  • Support school and PTO events with décor and balloons
  • Organize a team to assist with school décor for holidays and seasons by driving more commUNITY
  • Support annual Taste of Field Fundraiser
  • Lead a team to assist with design and set up of including/not limited to- an Ofrenda, Black History Month, Asian Pacific American Heritage month

Fine Arts LIAISON

  • Responsible for curating fine arts programming for Field Elementary
  • Partner and work together with Principal Karr on opportunities for arts
  • Liaison between the PTO board and School administration
  • Partners with the PTO board on a fine arts yearly budget, based on earmarked funds
  • Works with communications team and school administrationWorks with local and community programs to diversify art opportunities for Field Elementary
